Child Count

Child Count Data Collection Window

Begins November 1, 2022; Ends November 15, 2022

Federal (Child) Count Date

Remember to change your Federal Count Date to 11/01/2022. To change the date, follow the path in PowerSchool Special Programs (PSSP):

Administration > Configuration > Profile Types > Global Settings > Federal Count Date.

Child Count Snapshot

Your Child Count Snapshot must be taken on Tuesday, November 1, 2022, and only after the Federal (Child) Count date has been changed. To take the snapshot, follow the path in PSSP:

Reporting > Standard Reports > State Report Snapshots > Child Count Snapshot > Populate Reporting Snapshot (Due 11/01/2022).

Child Count Approval Process

After you have reviewed the Child Count Snapshot and verified the data to send to the state, you are ready to approve the Child Count report. To approve your report, follow the path in PSSP:

Reporting > Standard Reports > State Report Snapshots > Child Count Snapshot > Approve Reporting Snapshot.

Note: Child Count approval must take place by 11/15/2022.

Active and Referred Status

All students, including preschool children, should not have an “Active” folder status in PSSP until the IEP is implemented. The folder status should be in “Referred” status until eligibility is determined AND the IEP implemented.

Please refer to Frequently Asked Questions (FAQs), page 12, Questions 1 and 2 in the Help Document for guidance on a student who transfers from out of state or transfers within state when he/she does not have a current IEP.

Child Count Validations – Errors & Warnings

Before the close of the data collection window, your Child Count Validations – Errors and Warnings should be reviewed and corrected to ensure that your Child Count Student Listing contains accurate information. All corrections must be done in the data source. For example, demographic data must be corrected in PowerSchool SIS and PSSP; Gifted data must be corrected in the student Profile in PSSP. Students with errors will not be included in the Child Count Student Listing and Child Count Snapshot reports. Students with warnings will be included in the reports. To access your Child Count Validations – Errors and Warnings, follow the path in PSSP:

Reporting > Standard Reports > State Report – Child Count.

Below are a few errors and warnings that are prevalent across the State. A complete listing of errors and warnings may be found on page 8 in the Help Document. You may also refer to State Help > Child Count link under the Help icon in PSSP.

Blank Exceptionality – Errors that indicate that the Exceptionality field is empty or blank.

Blank LRE – Errors that indicate that the LRE Code is empty and Exceptionality is not GT.

Not Enrolled in Current Academic Year

Errors that indicate the student is not enrolled in the current academic year. In PowerSchool, this error may occur if the Federal Count Date is not entered as 11/01/2022 or if the student Enrollment Start Date is less than the First Day of School under the Calendar Options area of Globals. To view the Federal Count Date and/or the First Day of School fields, follow the path in PSSP:

Administration > Configuration > Profile Types > Globals > select Edit > Calendar Options

LRE Age 6-21 Invalid Code – Errors that the selected LRE Code for the student’s age is invalid. Verify those students who are age 5 (in kindergarten) through 21 are assigned to a School Age LRE Code.

Note: Be sure that a Preschool Age LRE Code is used to report students with disabilities who are age 3 through 5 (not in kindergarten).

Invalid or Missing Grade

Errors that indicate the student has an invalid or missing grade code. All students should have a valid grade level. In cases where there is a returning senior who will continue services beyond grade 12 (i.e., those who will stay in school until they reach maximum age), instead of using grade level 99, the appropriate grade assignment should be updated to grade level 13, 14, or 15.

Possible Duplicate (warning): This warning looks for two students with the same first name, last name and date of birth (DOB). If these are not two different students, then the records will have to be corrected before submitting.

Next Eligibility Meeting Due Date Less Than Child Count Date and Next IEP Due Date Less Than Child Count Date (warnings): All students submitted for Child Count should have a current Eligibility Determination and a current IEP. Sometimes these warnings are the result of data not entered on the forms; as a result, the dates were not written to the student profile.
